Executive Assistant – Finance & Operations (m/f/d)

ROLE & IMPACT

As Executive Assistant – Finance & Operations, you will support the managing director, manage processes and figures, and ensure that everything runs smoothly behind the scenes. You will be the central point of contact between management, the team, and external partners. We are looking for a precise, highly professional individual with excellent organizational skills, a strong sense of responsibility, and an entrepreneurial mindset.

YOUR TASKS

Finance, Controlling & Administration
– Close, trusting cooperation with the managing director on all operational and financial matters
– Support in business decisions through structured analyses and reporting
– Independent management of preparatory accounting (preliminary accounting, receipts, filing) in DATEV Unternehmen online
– Checking and preparing incoming invoices for approval, as well as checking incoming payments
– Maintaining and evaluating lists of open items, sending payment reminders and dunning letters
– Creating and maintaining liquidity plans, rolling forecasts and variance analyses
– Weekly KPI and management reports as a basis for management decisions
– Coordination and consultation with tax and payroll offices
– Research, scheduling, and document preparation on strategic management issues

YOUR PROFILE

– Several years of professional experience (at least 5 years) in a demanding role in the area of executive assistance, finance & operations, or controlling
– In-depth knowledge of digital accounting and financial processes, ideally with DATEV Unternehmen online
– Very good understanding of business management contexts and enjoyment of numbers, structure, and efficiency
– Precise, independent, and responsible way of working with high quality standards
– Confident manner, absolute reliability, and discretion when dealing with sensitive information
– Confident written and spoken German, good English desirable
– Proficient in common Office programs (especially Excel and Word); experience with DMS, CRM, or agency systems an advantage
